5. On-site Event Support

 1) PLANNING

The Event must be well planned, organised and meet or exceed the attendees’ expectations.

We will obtain from you a clear statement of your objectives and requirements for relevant stages of the planning and operation of the event and assist where required

To achieve this, TMBSC can:

  • Hold regular meetings with the you to evaluate the progress of the event
  • Prepare a basic time line

 2) EVENT CONFIRMATION:

Once the event has been confirmed TMBSC can:

  • Source and secure venue requirements
  • Co-ordinate site visits as required.
  • Inform you progressively of everything relevant to the event.

 3) LIASION

  • TMBSC will coordinate between the speaker and all organisations involved in the planned events/workshops etc
  • TMBSC will ensure your travel, accommodation & venue requirements are attended to

 4) MARKETING:

Email Marketing

  • TMBSC will email their database to notify of the event – copy to be supplied by speaker/events management and details to be negotiated.

Website

  • TMBSC will upload the latest information onto their website.
  • The TMBSC website will feature details about the conference, programme, speakers and sponsors, where appropriate
  • Where appropriate products will also be highlighted and available for sale.

5) ON SITE EVENT SUPPORT:

Our professional event support staff can be onsite for the duration of the seminars where required

  • Our staff ensure that all requirements are followed through
  • TMBSC can liaise with on-site venue staff and suppliers regarding any last minute changes
  • We can set up a professional registration and help desk and attend to all registrations & hand out name badges and lanyards (if required)
  • TMBSC can also manage last minute registrations onsite
  • Guest speakers will be welcomed
  • Should Media be invited to attend the event, TMBSC will ensure that the appropriate media spokesperson for the conference is made aware when media arrives
  • TMBSC can place and change session signage
  • We can ensure that all catering breaks run on time
  • Attendance and management of registration and help desk (if required)
